POSITION SUMMARY
The Sales Administrator supports quoting and proposal management, oversees reporting and dashboards, and provides cross-functional coordination across Accounting, Service, IT, and Billing. Also responsible for ensuring CRM data accuracy, managing HubSpot and related systems, streamlining workflows, and enabling sales efficiency.
ESSENTIAL RESPONSIBILITES
CRM & Data Management
- Maintain and update HubSpot to ensure accurate account, opportunity, and pipeline data.
- Manage sales dashboards and reports for leadership, highlighting pipeline health, closed/won opportunities, and forecast trends.
- Conduct regular audits of accounts, opportunities, pricing, and line-item data to ensure accuracy.
- Administer sales tools including pricing libraries, quote templates, and automated workflows
- Identify operational inefficiencies and recommend improvements across sales and proposal processes.
- Support cross-departmental handoffs between Sales, Accounting, Billing, and Service teams.
- Standardization and document processes to improve clarity and consistency across the sales organization.
- Assist with ad hoc projects and process improvements.
- Produce weekly, monthly, and ad hoc reports for sales leadership, including account activity, performance KPIs, and forecasting.
- Analyze trends and provide insights to guide strategic decision-making.
- Serve as a point of contact for internal teams regarding sales operations questions or system usage.
- Field inquiries from sales teams and ensure issues are routed to the correct department.
- Support onboarding and training of new sales team members on HubSpot and operational processes.
REQUIREMENTS
- High School Diploma or GED
- 2 years prior experience in Sales Operations, Revenue Operations, or a related field.
- 2 years’ experience supporting sales processes
- Hands-on expertise with CRM systems (e.g., HubSpot) including reporting, dashboards, and data management.
- Proven ability to work cross-functionally with Sales, Finance, and Marketing teams
- Proven Proficiency using MS Office applications
- Ability to manage multiple projects, prioritize tasks and meet deadlines
- Proven track record of understanding sales operations, order management, and accounting process
- Exceptional organizational, analytical, and communication skills
- Ability to maintain professional interactions with internal stakeholders and external customers
- Collaborative and team-oriented mindset
- Strong analytical and problem-solving ability with attention to detail
- Ability to apply critical thinking and sound judgment to resolve issues and improve processes

PREFFERED SKILLS/EXPERIENCE
- Two or more years of college or trade school
- Familiarity with BI and data visualization tools (Power BI, Tableau, or similar)
- Exposure to ERP/accounting systems (Oracle, SAP, NetSuite, Microsoft Dynamics or similar)
- Experience with NetSuite, ConnectWise, and/or HubSpot
- Advanced Excel/Google Sheets skills
- Sit Frequently at a desk
- Frequent fine hand and finger movements (keyboard, writing, mouse movement)
- Continual close visual acuity for reading
- Hearing and Speaking for communication within and outside of company.
- May be required to lift/push/pull up to 10 pounds for set up/movement of office equipment,
